As we head out of both 2010 and the recession we have seen a slight up tick in spending in technology. Assuming the economy continues to move in the right direction we would expect this trend to continue and accelerate. Data Entry Made Easy

Several Vertical Solutions' team members were trading emails this weekend regarding the latest articles on MSDynamicsWorld.com. One article regarding the top ten ISV products that Microsoft should buy and incorporate into Dynamics GP generated a lot of conversation. Joe Critchlow, the head of our Microsoft Dynamics GP consulting group was particularly championing SmartFill from Rockton Software.

Joe says “Everyone could use SmartFill, it is a simple solution to something that has always been a pain point.” Ever wish you could do a google-style search to find your key data in Dynamics GP? Tired of "looking up" a Customer when you know their name and not their ID? SmartFill makes data entry easy. Find accounts by typing in part of their description or just a partial segment. Find Employees by typing in their first or last name, or even their address. Find customers by phone, address, name, or even information stored in outside databases!

As Rockton Software points out, many users of Dynamics GP often use non-intuitive numbering schemes for Customers, Items, Accounts, and other IDs. SmartFill allows you to type part of the Name, Description, or WHATEVER you know into any ID field, and then intuitively discovers the correct ID and types it in for you. No lookup required!

Year End Wrap Up

To help our clients prepare for a successful year end close, Vertical Solutions held a series of seminars in Charlottesville and Pittsburgh. In addition to reviewing the year end checklists, we demonstrated some of the more popular features in Microsoft Dynamics GP 2010 (still hard not to say Great Plains for some of us old timers), introduced the complete collection of tools and resources for Dynamics GP, and discussed some tips and tricks as well.

The tips and tricks session was considered especially beneficial . The loose format, which allowed everyone to inquire about their particular issues with processes, allowed attendees to get real world solutions from our complete consulting team. Here are some of the tips the groups took back to back to their offices:

Navigation Pane Options	Only show what you need, compact view. Click the Configure button at the bottom of the Navigation Pane.
Toolbars	Quick launch icons, time savers. Right click on the Toolbar to open men.
Word Forms/ Email	Customize Payables and Receivables documents using Word and email in Dynamics GP 2010 only.
Budget Transactions	Keep an audit trail of budget modifications, in Dynamics GP 2010 only.
Report Lists	Use the Type to Filter Box to find reports quickly.
Rename SmartList Column Names	Click on the Columns button on the Search Page to change the Display Name. Remember to save or update the Favorite.
Allocution Accounts	Fixed Allocution and Variable Allocution accounts can replace maintaining spreadsheets to allocate costs.
Shut off posting reports	Tools>>Setup>>Posting>>Posting. Select the Series and the Origin and uncheck reports not needed for printing after posting.
Recurring Batches	Payables and Financial entries saved to a recurring batch. This can eliminate repeatedly rekeying entries and transactions.
Remove Entries from AutoFill	Once the list is presented, right click the entry and click on remove. You can also change the AutoFill preferences in the User Preference Window.

Last night, the First Tuesday Networking Group heard a presentation by Alex Kinder of Horovitz, Rudoy & Roteman and our own Bob Nelson on how to improve your business value. Making Sales Tax Less Taxing

Erica Bacco of Avalara spoke of trends in the sales/ use tax arena at our monthly First Tuesday networking session. She presented some compelling examples of how this non-revenue generating activity can not only be incredibly time consuming, but can have a huge negative effect if not done correctly. She talked of how textbooks, while nontaxable in our home state of Pennsylvania, they are subject to sales tax in other states. Or, how zip code databases don’t always calculate sales tax correctly, since they don’t include different local assessments for that code. She showed this example from 80111 in Colorado.

One question came up – when should I add a tax management solution? Here are Erica’s tips on what to consider:

Collect sales tax in several or any home rule states?
Want to get amnesty or audit protection from the SST Project?
Sell products with complex tax rules?
Plan to add on new products, a web store or additional locations?
Manage a remote sales force or contract labor?
Have multiple order entry points that are not managed by a single resource?
Just want to get rid of the manual work….

Making Sales Tax Less Taxing

Have you heard the joke about the sales tax audit?

No one has. There is nothing funny about a sales tax audit.

In the USA, 45 states, the District of Columbia, 4,696 cities, 1,602 counties, and 1,113 other jurisdictions impose some form of sales tax. There is no joke about trying to keep current with this many changes for an everyday routine calculation. Remember, the accuracy of a sales tax calculation is never praised, it is only noticed when it is wrong.

Compliance steps rarely demonstrate ways to add value. However, the process surrounding sales tax calculations, collection and reporting impacts a most important business asset – your customers, or your clients’ customers. As states and local tax jurisdictions experience sales tax revenue decrease and their revenue expectations shrink, they will aggressively look for non payers through enforcement of the nexus concept. If nexus is established, then tax collection and remittance is required.

So where does the value add come into play? Sales tax is a compliance process that impacts your customers or your clients’ customers. When it is done right – there are no problems. When something is wrong: calculation, reporting, payment - there is a price to pay. Any under collection could result in a cut in the expected profit margin. If a sales tax audit shows amounts due from past transactions, it is almost impossible to collect from customers. When customers are charged the wrong rate, there is immediate ill will on the part of the customer as well as the potential for a lawsuit.

In addition, there is an unplanned time and dollar cost to answer customers’ questions about improper sales tax calculations. Often customers will call about a sales tax calculation that is only a few dollars. Each answer requires staff time to take the call, retrieve the sales document, review the calculation and rate, and respond. This effort could consume at least one labor hour, not to mention having an unhappy customer. If a refund is due, a refund must be issued, approved and tracked including updating the sales tax return and financial accounting records. If you add all the staff time, time to process the refund, and updating all accounting records, it could easily exceed $50 to correct a $1 sales tax error.

There are other system wide requirements to update the customer records, sales information data, local, county, state and federal reporting requirements. Doing the job right the first time will keep customers happy, reduce non-productive time and make any sales tax audit efficient. I am the newest member of the team, joining just two weeks ago as an Account Manager. I have spent the last eleven years working with two of the largest Microsoft Partners in the U.S., helping clients improve their success. Where were you born and live?
While I was born in Runcorn, England, I consider Washington, D.C. to be home. I have also spent several years in Boston, Massachusetts. I am currently staying with family in Canonsburg while I figure out where I am going to live. Anyone have a great suggestion for a single person who misses the city?

How did you join Vertical Solutions?
This is a bit of a funny story. I was visiting my brother for the Super Bowl this year, when the back-to-back snow storms hit, and was unable to return home to D.C. I was a bit bored and started surfing the web to see if what the Microsoft Partner community was like here in Pittsburgh, and came across Vertical Solutions site. I was really impressed by the work they were doing, and sent Bruce Nelson my resume as a lark. Short end to the story, he held on to it, contacted me and here I am!

What is the first question that you would ask someone who is considering a new solution for their organization?
Since I work with our clients, I don’t technically come across someone who is considering a “new” solution - kind of the opposite in fact. The first question I ask is: are you getting the greatest possible value out of your current system?

What industry/industries are you currently focused on?
While Vertical Solutions specializes in several key industries; I get to work with all our clients from all over. I am amazed at the variety of organizations that benefit from our solutions! I have worked with everyone from a bakery who makes the buns for a fast food chain to a pharmaceutical manufacturer who milks horseshoe crabs.

What was a small mistake that you’ve seen an organization make with their systems that had a big consequence?
Not understanding the value of their enhancement/ software assurance plan and decide to not stay current. First, they are missing tremendous benefits beyond access to new releases. But, most important, they can get burned with a huge fee when staying with current functionality becomes unbearable.

What is your background picture on your desktop right now?
It is a picture of my toes at the Youghiogheny Reservoir. My family has owned a cabin on the lake for over 40 years now, and it will be great to be so near to it!

How has the ecomony impacted our client base?

The economy has had profound impact on many of our clients. We noticed the emergence of a “wait and see” policy, starting with the crash in 2008. Even though many of our clients were not immediately impacted, they still had significant concerns about the future of their business. As we moved into early 2009, our strongest clients began to make strategic moves to see them through an extended downturn. While they cut back on sizable IT initiatives they still made investments that had a Return on Investment and would put them in a good position when the economy began to grow again.

For example, a client invested in automating their manual business processes and eliminated time consuming activities such as compiling data in massive Excel spreadsheets - allowing them to efficiently match customer demand to inventory. This resulted in higher productivity and the ability to grow without increasing personnel.

Conversely, other clients essentially froze, and unfortunately they stayed frozen. Others have put off IT spending for so long that they now face major upgrades due to the age and unavailability of needed functionality in their current systems. These unrecorded liabilities are going to be a significant issue for organizations, as the slow growth out of this recession continues. If they are going to succeed they will to define an IT Strategic Plan - which identifies their most critical issues, as well as create a long term roadmap to address less vital issues. Vertical Solutions will continue to work closely with these clients to assist them with the design and implementation of a plan, so they can identify paths of opportunity as the economy rebounds.

For those of you that don't know the Microsoft's Professional Services Tools Library (PSTL) is a great set of utilities developed the Dynamics GP team to address common issues faced by users or simply enhance productivity.

These tools include solutions that allow you to update key master records while still maintaining the integrity of the current and historical data. Let's say for example your organization has grown and you need to redesign your Chart of Accounts. The Account Modifier/Combiner tool will give you the ability to map the old account number to the new and when run, it will update the current and historical records to reflect the new account number. This let's you maintain the history, run comparative financials and enhance your overall reporting capabilities.

Concurrent Payroll Runs

New with Dynamics GP 2010 is the abilities to process concurrent payroll runs allowing payroll departments to divide payrolls runs into smaller functional runs vs. one large one for the organization. Dynamics GP 2010 provides a Multiuser Payroll Setup window letting administrators define the Max Wait Time for Calculations and Retry Intervals. This new methodology does have controls preventing users from calculating and printing checks at the same time. This prevents duplication in employee pay and check numbers.

Are you a higher paid data entry clerk? Part I

Vertical Solutions has managed and supported hundreds of clients migrating to Dynamics GP. Over the years we noticed a trend that to this day never ceases to amaze us. It’s a position called the Chief Data Entry Officer, CDEO. This is typically a high level and highly compensated individual (or team) that spends hour or days rekeying data from other systems into GP, from GP into Excel etc. While I’m not sure how this position got created I am sure there are ways to fix it. Dynamics GP offers numerous tools that allow you to bring data in from other operational systems that organizations may rely on. This data can be integrated in various ways and always accounts for the system controls available in Dynamics GP. The following are a couple of the tools available:

Integration Manager allows you to:

o Easily map external data fields to fields within Microsoft Dynamics GP without underlying knowledge of the data structures or tables.

o Import data from virtually any database or desktop application, including comma- and tab-delimited text files, XML, and most open database connectivity (ODBC) data sources.

o Schedule data integrations from other systems on a continuous basis. Verify the accuracy and integrity of external data by processing all imported data through a series of business objects encapsulating Microsoft Dynamics GP business logic.

Web Services and eConnect allow you to

o Tailor and extend your Microsoft Dynamics GP solution with a toolkit that includes documentation, samples, and command-line tools and compilers to help your developers create and deploy .NET Framework applications. This is a great new feature if you currently manage budgets within GP. The challenge before was that an edit to a budget amount had no audit trail. In other words if you need to track budget transfers or other adjustment you had to do this outside the system to record the history.

With Dynamics GP 2010 you can now create a transaction solely against a budget. You can view a list of budget transactions, make adjustments, and then update the budget from the list.

Recommended Maintenance with Microsoft SQL Server for Microsoft Dynamics GP Databases

Database maintenance helps keep the inner workings of Microsoft SQL Server and the Microsoft Dynamics GP databases running at their peak level. We recommend that you use the following SQL Server maintenance procedures:

Use database consistency check commands
Update statistics
Recompile stored procedures

We recommend that you perform these maintenance procedures weekly for the DYNAMICS database and all company databases. However, you can vary this frequency based on your environment and the activity each database receives. We also recommend that you stagger these maintenance procedures throughout the week to handle lots of data.

Note Before you follow the instructions in this article, make sure that you have a complete backup copy of the database that you can restore if a problem occurs.

Database consistency check commands

You can run database consistency check (DBCC) commands manually with SQL Server through SQL Query Analyzer or SQL Server Management Studio. To do this, follow these steps:

If you use Microsoft SQL Server 2000, click Start, point to Programs, point to Microsoft SQL Server, and then click Query Analyzer.

If you use Microsoft SQL Server 2005 or 2008, click Start, point to Programs, point to Microsoft SQL Server 2005 or Microsoft SQL Server 2008, and then click SQL Server Management Studio.

In SQL Query Analyzer or SQL Server Management Studio, run one or more of the following DBCC commands:

DBCC CHECKCATALOG (DBNAME)

When you use this statement, replace DBNAME with the name of your database, such as DYNAMICS.

Note DBCC CHECKCATALOG is included in DBCC CHECKDB for Microsoft SQL Server 2005 or later.

DBCC CHECKDB (DBNAME)

When you use this statement, replace DBNAME with the name of your database, such as DYNAMICS.

You can schedule this command within SQL Server Enterprise Manager or SQL Server Management Studio so that the maintenance process runs automatically.

DBCC DBREINDEX (TableName)

When you use this statement, replace TableName with the name of the table, such as GL00100.

The DBCC DBREINDEX command can also be executed manually against all tables at the same time by using the Reindex.sql script. You can find the Reindex.sql script in the default path for Microsoft Dynamics GP as C:\Program Files\Microsoft Dynamics\GP\SQL\Utility\0 folder.

You can also schedule this command within SQL Server Enterprise Manager or SQL Server Management Studio so that the maintenance process runs automatically.

Update Statistics

There are several ways for you to run the update statistics procedure.

You can update statistics by running the UpdatSta.sql script with Microsoft SQL Server by using SQL Query Analyzer or SQL Server Management Studio. You can find the UpdatSta.sql script in the default path for Microsoft Dynamics GP as C:\Program Files\Microsoft Dynamics\GP\SQL\Utility\0 folder.

You can run the update statistics process within Microsoft Dynamics GP. To do this, follow these steps:

On the File menu, point to Maintenance, and then click SQL.

Select a database from the Database box and product for Product box.

Select all the tables for that database by pressing CTRL+A within the table listing.

Click Update Statistics, and then click Process.

You can configure SQL Server to run the update statistics process automatically within SQL Server Enterprise Manager or SQL Server Management Studio. To do this, right-click your database, click Properties, click Options, and then click to select Auto Create Statistics and Auto Update Statistics.

You can schedule the update statistics process on a recurring basis within Database Maintenance Plans.

Recompile Stored Procedures

There are several ways for you to recompile stored procedures.

You can recompile stored procedures by running the Recomp.sql script with Microsoft SQL Server by using SQL Query Analyzer or SQL Server Management Studio. You can find the Recomp.sql script in the default path for Microsoft Dynamics GP as C:\Program Files\Microsoft Dynamics\GP\SQL\Utility\0 folder.

You can also recompile stored procedures within Microsoft Dynamics GP. To do this, follow these steps:

On the File menu, point to Maintenance, and then click SQL.

Select a database from the Database box and product for Product box.

Select all the tables for that database by pressing CTRL+A within the table listing.

Click Recompile, and then click Process.

You can recompile stored procedures by scheduling the sp_recompile procedure by using SQL Server Agent Jobs. For more information about steps to create a job within SQL Server Enterprise Manager or SQL Server Management Studio, see SQL Server Books Online. Update statistics: Updates the query optimizer with distribution information about key values of indexes. This enables the query optimizer to make efficient decisions.

Recompile stored procedures: Recompiles the queries and optimizes the triggers used by stored procedures. This recompile procedure updates database statistics and optimization information that can become outdated with changes to the database.

Process concurrent pay runs

Payroll has support for processing concurrent pay runs, accommodating organizations that have multiple payroll clerks who conduct separate pay runs for different departments or business units. As in previous releases, only one user at a time can calculate payroll checks, print checks, and print direct deposit earning statements. However, if another user now tries to perform one of these tasks at the same time, the processing request will be queued. You can use the Multiuser Payroll Setup window to specify the maximum wait time and how often the processing request will be retried.

Lookups in Dynamics GP 2010

You can define and save a default lookup view for your master records by selecting the Set as Default View option from the View menu or using the right-click menu in the lookup window. The default view you select will be the view displayed when you open the lookup window the next time.

The user can select which documents they would like to send and also select which customers/vendors should receive their documents in e-mail. Why this feature is cool!

Microsoft Dynamics GP 10.0 offers an “approval” workflow, which routes objects to various individuals for document approval based on user specified field values of the transaction in question. However, organizations typically have additional processes that they follow when creating a master record, such vendors, or when creating transactions, such as Purchase Orders or Quotes. Microsoft Dynamics GP 2010 includes the added ability to perform an “action step” workflow which helps users take action for a specific business process.

These business processes may require the routing of the record for an action that needs to take place before the record can be used or posted within the system. Often times these actions need to take place outside of Microsoft Dynamics GP. For example when setting up a new vendor, a user may need to perform a check with the Better Business Bureau. The action step feature allows for the creation of a workflow task that indicates to the user that they need to perform the check before the vendor can be used in the system. Action step workflow features include:

Create a workflow that is customized to the organization’s process.
Assign an activity to a user based on criteria of the record.
Users can be notified of an activity that needs to be completed in Microsoft Office SharePoint (either Windows SharePoint Services or Microsoft Office SharePoint Server), Microsoft Outlook or Microsoft Dynamics GP 2010.
Action tasks are flagged with “ACTION NEEDED” on all notifications.
Users can mark the task as complete, reject the task, or delegate the activity to another user.

Copy the .F32 file or files to the new location.

Copy the *.F32 file from the shared SysData folder in the first location to the same directory in the second location. Make sure that you rename any .F32 files in the new location to *.OLD before you copy them.

Start Microsoft FRx at the second location, and then create a new specification set with exactly the same name as the specification set at the first location. To view the Specification Sets window, click Company, and then click Specification Sets. You do not have to do this step if only the Default specification set is used. Make sure that you point each specification set to the correct .F32 file in the drop-down box.

Note specification sets are uniquely identified by the corresponding specification set name and the corresponding .F32 file.

In the Specification Sets window, click New.

Type the name of the specification set in the Name box. The name must be exactly the same as the specification set name at the original location.

In the Location box, click the drop down arrow and browse to the .F32 file.

Click Save.

Assign the specification set to the company by clicking Company and then clicking Information. Select the new specification set from the drop down list.

Method 2

Export and import building Blocks, whole specification sets, or individual reports.

In the first location, click Company, and then click Specification Sets to view the Specification Sets window.

Select the specification set that contains the reports to be exported.

Click the Export button. To select the desired components from the List of Catalogs, click to select the Mark Related Rows, Columns, and Trees check box. The building blocks that make up the catalog are automatically selected.

When all the selections are made, click the Export button.

The default location for the output file opens to the IO_DATA directory. The default file name is frxexp.tdb. Both the file location and the file name can be overwritten. However, the .TBD file extension must be used.

At the second location, open the Specification Sets window to locate an existing specification set, or create a new specification set.

Click Import.

Select the .TDB file from the appropriate location to start the import. As soon as the import is complete, the building blocks that are imported are available when the Company Information record is set to use that specification set.

Note When catalog IDs are exported from a company and imported to a system where that company does not exist, the following warning message occurs:

Company does not exist, setting to default Company

When this message occurs, the system sets the current catalog to the default company.

General Ledger Closing

Every year we receive at least one or two calls when clients start closing their books for January. The calls typically sound like this "I have everything posted for January however when I run my January Statements in FRx Balance Sheet accounts are all wrong". This is typically the result on not running the General Ledger Closing Process. This process will roll the Balance Sheet accounts forward and close the Revenue/Expense type accounts into the Retained Earnings account. Installation from the Dynamics GP 10 Feature Pack 1

I want to alert you to a possible problem when using the Dynamics GP 10 Feature Pack 1 (10_GP_ENUS_FP1_DVD_SP4.zip) to setup a new client. This is the latest installation set which has been fixed so that you don't have to downgrade the client's .NET Framework in order to install the Dexterity Shared Components prerequisite.

The Feature Pack includes SP4 build number 10.00.1368. Make sure you find out the current build for your installation before installing the new client. The simplest method for doing that is to start GP on an existing client and note the version information at the bottom left of the login window. If it is earlier than 10.00.1368, then you must modify the Feature Pack's files to make it use the right service pack before installing the new client.

1. Extract the Feature Pack files from the zipped archive to a local hard drive.
2. Navigate to the Uploads directory in the extracted files location.
3. Delete the file named MicrosoftDynamicsGP-KB971808-v10-ENU.msp
4. Replace it with the service pack that matches the build of the current installation. https://mbs.microsoft.com/customersource/downloads/servicepacks/MDGP10_Previouspatches.htm
NOTE Anyone who has installed the year end update will require MicrosoftDynamicsGP- KB975174-v10-ENU which is 10.00.1400 in Step #4.
5. Install the new client.

If you install the feature pack version of GP10 without doing the above and it's version is newer than the current installation, you only have 2 options to repair it.
1. (Recommended) Uninstall GP10, then follow the instructions above.
2. Upgrade the entire installation to 10.00.1368 or later.

These instruction can just as easily be applied at installations with newer GP10 builds.

Erin Linde has joined Vertical Solutions as a Dynamics GP Consultant. Erin will work with new and existing clients to assist them with the training, implementation and support of the Microsoft Dynamics GP solution. Erin is a graduate of Penn State University with 9 years of experience as Billing Consultant, Premise Service Specialist, Network Cost Analyst and Sales Engineer for a large communications firm. Erin also has experience in Payroll Administration and Bookkeeping services.

Ben Speca has joined Vertical Solutions as the Director of Enterprise Services. Ben will work with the internal team and clients to define and monitor various Microsoft Dynamics GP and IT projects. Ben was formerly a partner with the AEC Group based out of Bridgeville PA where he was responsible for program and project management for consulting and technology services. Prior to the AEC Group Ben was a Senior Consultant with PriceWaterhouseCooper, LLC. Ben holds numerous certifications including PMP, and MCP (Dynamics, Business Intelligence and Information Worker).

Dynamics GP Year End Procedures

AR Aging Routine

We recently added a client who's implementation had not gone well to say the least. A primary complaint was that Dynamics GP did not Age the receivables tracked in the system. They stated that when they went into the Summary Inquiry window for Customers and no matter how old the document everything appear in the Current bucket.

Dynamics GP obviously gives you the ability to Age your receivables however this does not happen automatically. Among other functions the Routines section includes an Aging function which will update the various aging buckets through out the system.

PDK Timesheet entry

Microsoft Dynamics GP Project Accounting is a powerful yet sometimes querky module. One of the tools available to enter time is the Personal Data Keeper or PDK. PDK uses setup information from multiple sources with GP including the Project Series and Payroll. One of the often overlooked setup functions is the Unit of Measure value located on the Project Tab of the employee master card. If this value is not setup properly you will get a message regarding the "Default Unit of Measure" when entering a time entry in PDK. If you recieve a message like this check the employee card to make sure the Unit of Measure (Hour, Day, etc) is setup for the employee entering the time.
