She presented some compelling examples of how this non-revenue generating activity can not only be incredibly time consuming, but can have a huge negative effect if not done correctly. There is nothing funny about a sales tax audit. &lt;br /&gt;&lt;br /&gt;In the USA, 45 states, the District of Columbia, 4,696 cities, 1,602 counties, and 1,113 other jurisdictions impose some form of sales tax. There is no joke about trying to keep current with this many changes for an everyday routine calculation. Remember, the accuracy of a sales tax calculation is never praised, it is only noticed when it is wrong.&lt;br /&gt;&lt;br /&gt;Compliance steps rarely demonstrate ways to add value. However, the process surrounding sales tax calculations, collection and reporting impacts a most important business asset – your customers, or your clients’ customers. As states and local tax jurisdictions experience sales tax revenue decrease and their revenue expectations shrink, they will aggressively look for non payers through enforcement of the nexus concept. If nexus is established, then tax collection and remittance is required.&lt;br /&gt;&lt;br /&gt;So where does the value add come into play? Sales tax is a compliance process that impacts your customers or your clients’ customers. When it is done right – there are no problems. When something is wrong: calculation, reporting, payment - there is a price to pay. Any under collection could result in a cut in the expected profit margin. If a sales tax audit shows amounts due from past transactions, it is almost impossible to collect from customers. When customers are charged the wrong rate, there is immediate ill will on the part of the customer as well as the potential for a lawsuit. &lt;br /&gt;&lt;br /&gt;In addition, there is an unplanned time and dollar cost to answer customers’ questions about improper sales tax calculations. Often customers will call about a sales tax calculation that is only a few dollars. Each answer requires staff time to take the call, retrieve the sales document, review the calculation and rate, and respond. This effort could consume at least one labor hour, not to mention having an unhappy customer. If a refund is due, a refund must be issued, approved and tracked including updating the sales tax return and financial accounting records. If you add all the staff time, time to process the refund, and updating all accounting records, it could easily exceed $50 to correct a $1 sales tax error. &lt;br /&gt;&lt;br /&gt;There are other system wide requirements to update the customer records, sales information data, local, county, state and federal reporting requirements. First, they are missing tremendous benefits beyond access to new releases. As we moved into early 2009, our strongest clients began to make strategic moves to see them through an extended downturn. While they cut back on sizable IT initiatives they still made investments that had a Return on Investment and would put them in a good position when the economy began to grow again. &lt;br /&gt;&lt;br /&gt;&lt;br /&gt;For example, a client invested in automating their manual business processes and eliminated time consuming activities such as compiling data in massive Excel spreadsheets - allowing them to efficiently match customer demand to inventory. This resulted in higher productivity and the ability to grow without increasing personnel. &lt;br /&gt;&lt;br /&gt;Conversely, other clients essentially froze, and unfortunately they stayed frozen. Others have put off IT spending for so long that they now face major upgrades due to the age and unavailability of needed functionality in their current systems. These unrecorded liabilities are going to be a significant issue for organizations, as the slow growth out of this recession continues. If they are going to succeed they will to define an IT Strategic Plan - which identifies their most critical issues, as well as create a long term roadmap to address less vital issues. We recommend that you use the following SQL Server maintenance procedures:&amp;nbsp;&lt;br /&gt;&lt;ul&gt;&lt;li&gt;Use database consistency check commands &lt;/li&gt;&lt;li&gt;Update statistics &lt;/li&gt;&lt;li&gt;Recompile stored procedures&lt;/li&gt;&lt;/ul&gt;&lt;br /&gt;&lt;div&gt;We recommend that you perform these maintenance procedures weekly for the DYNAMICS database and all company databases. However, you can vary this frequency based on your environment and the activity each database receives. We also recommend that you stagger these maintenance procedures throughout the week to handle lots of data. &lt;/div&gt;&lt;br /&gt;&lt;div&gt;&amp;nbsp;&lt;/div&gt;Note Before you follow the instructions in this article, make sure that you have a complete backup copy of the database that you can restore if a problem occurs. &lt;br /&gt;&lt;br /&gt;&lt;div&gt;&amp;nbsp;&lt;/div&gt;&lt;strong&gt;Database consistency check commands&lt;/strong&gt;&lt;br /&gt;&lt;br /&gt;&lt;div&gt;&amp;nbsp;&lt;/div&gt;You can run database consistency check (DBCC) commands manually with SQL Server through SQL Query Analyzer or SQL Server Management Studio. However, organizations typically have additional processes that they follow when creating a master record, such vendors, or when creating transactions, such as Purchase Orders or Quotes. Microsoft Dynamics GP 2010 includes the added ability to perform an “action step” workflow which helps users take action for a specific business process.&lt;br /&gt;&lt;br /&gt;These business processes may require the routing of the record for an action that needs to take place before the record can be used or posted within the system. Often times these actions need to take place outside of Microsoft Dynamics GP. For example when setting up a new vendor, a user may need to perform a check with the Better Business Bureau. The action step feature allows for the creation of a workflow task that indicates to the user that they need to perform the check before the vendor can be used in the system. Make sure that you rename any .F32 files in the new location to *.OLD before you copy them. &lt;br /&gt;&lt;br /&gt;Start Microsoft FRx at the second location, and then create a new specification set with exactly the same name as the specification set at the first location. To view the Specification Sets window, click Company, and then click Specification Sets. You do not have to do this step if only the Default specification set is used. Make sure that you point each specification set to the correct .F32 file in the drop-down box. &lt;br /&gt;&lt;br /&gt;Note specification sets are uniquely identified by the corresponding specification set name and the corresponding .F32 file. &lt;br /&gt;&lt;br /&gt;In the Specification Sets window, click New. &lt;br /&gt;&lt;br /&gt;Type the name of the specification set in the Name box. The name must be exactly the same as the specification set name at the original location. &lt;br /&gt;&lt;br /&gt;In the Location box, click the drop down arrow and browse to the .F32 file. &lt;br /&gt;&lt;br /&gt;Click Save. &lt;br /&gt;&lt;br /&gt;Assign the specification set to the company by clicking Company and then clicking Information. Select the new specification set from the drop down list.&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;Method 2&lt;/strong&gt;&lt;br /&gt;&lt;strong&gt;&lt;br /&gt;&lt;/strong&gt;&lt;br /&gt;&lt;strong&gt;Export and import building Blocks, whole specification sets, or individual reports.&lt;/strong&gt; &lt;br /&gt;&lt;br /&gt;In the first location, click Company, and then click Specification Sets to view the Specification Sets window. &lt;br /&gt;&lt;br /&gt;Select the specification set that contains the reports to be exported. &lt;br /&gt;&lt;br /&gt;Click the Export button. To select the desired components from the List of Catalogs, click to select the Mark Related Rows, Columns, and Trees check box. The building blocks that make up the catalog are automatically selected. &lt;br /&gt;&lt;br /&gt;When all the selections are made, click the Export button. &lt;br /&gt;&lt;br /&gt;The default location for the output file opens to the IO_DATA directory. The default file name is frxexp.tdb. Both the file location and the file name can be overwritten. However, the .TBD file extension must be used. &lt;br /&gt;&lt;br /&gt;At the second location, open the Specification Sets window to locate an existing specification set, or create a new specification set. &lt;br /&gt;&lt;br /&gt;Click Import. &lt;br /&gt;&lt;br /&gt;Select the .TDB file from the appropriate location to start the import. This is the latest installation set which has been fixed so that you don't have to downgrade the client's .NET Framework in order to install the Dexterity Shared Components prerequisite.&lt;br /&gt;&lt;br /&gt;The Feature Pack includes SP4 build number 10.00.1368. Make sure you find out the current build for your installation before installing the new client. The simplest method for doing that is to start GP on an existing client and note the version information at the bottom left of the login window. If it is earlier than 10.00.1368, then you must modify the Feature Pack's files to make it use the right service pack before installing the new client.&lt;br /&gt;&lt;br /&gt;1. Extract the Feature Pack files from the zipped archive to a local hard drive.&lt;br /&gt;2. Navigate to the Uploads directory in the extracted files location.&lt;br /&gt;3. Delete the file named MicrosoftDynamicsGP-KB971808-v10-ENU.msp&lt;br /&gt;4. Replace it with the service pack that matches the build of the current installation.&amp;nbsp; &amp;nbsp;&lt;a href="https://mbs.microsoft.com/customersource/downloads/servicepacks/MDGP10_Previouspatches.htm"&gt;https://mbs.microsoft.com/customersource/downloads/servicepacks/MDGP10_Previouspatches.htm&lt;/a&gt;&lt;br /&gt;&lt;strong&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp; NOTE Anyone who has installed the year end update will require MicrosoftDynamicsGP-&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;KB975174-v10-ENU which is 10.00.1400 in Step #4.&lt;/strong&gt;&lt;br /&gt;5. Install the new client.&lt;br /&gt;&lt;br /&gt;If you install the feature pack version of GP10 without doing the above and it's version is newer than the current installation, you only have 2 options to repair it.&lt;br /&gt;1. (Recommended) Uninstall GP10, then follow the instructions above.&lt;br /&gt;2. Erin is a graduate of Penn State University with 9 years of experience as Billing Consultant, Premise Service Specialist, Network Cost Analyst and Sales Engineer for a large communications firm. A primary complaint was that Dynamics GP did not Age the receivables tracked in the system. They stated that when they went into the Summary Inquiry &lt;span id="SPELLING_ERROR_0" class="blsp-spelling-corrected"&gt;window&lt;/span&gt; for Customers and no matter how old the document everything appear in the Current bucket.&lt;br /&gt;&lt;br /&gt;Dynamics GP obviously gives you the ability to Age your receivables however this does not happen automatically. One of the tools available to enter time is the Personal Data Keeper or PDK. PDK uses setup information from multiple sources with GP including the Project Series and Payroll.  One of the often overlooked setup functions is the Unit of Measure value located on the Project Tab of the employee master card.  If this value is not setup properly you will get a message regarding the "Default Unit of Measure" when entering a time entry in PDK.
